SUMMARY
The Senior Vendor Maintenance Specialist plays a crucial role in the management of vendor profiles, including the initial setup and ongoing maintenance of vendor records. This position requires attention to detail, strong organizational skills, and the ability to handle confidential information with discretion.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Vendor Setup and Maintenance: Responsible for the initial setup of vendor profiles and ongoing maintenance, including verifying documentation and ensuring accuracy in the accounting system.
- Documentation Management: Compile and manage all necessary documentation for vendor setup, including tax forms and vendor change requests.
- Verification and Compliance: Perform independent verification of vendor banking information to mitigate fraud risk and ensure compliance with federal and state regulations.
- Communication: Collaborate with various departments to ensure timely updates to vendor information and respond to vendor inquiries as needed.
- Reporting: Produce monthly reports on vendor data and maintain records for audits and compliance checks.
- 1099 processing: Pull reports for review of 1099 processing, create and compile templates, and coordinate with 3rd party for submission.
QUALIFICATIONS
- Proven work experience as accounts payable vendor master.
- Hands-on experience with vendor data records, spreadsheets and accounting software.
- Strong understanding of basic bookkeeping, accounting principles, and vendor master requirements based on IRS regulations.
- High degree of accuracy and attention to detail.
- Ability to provide accurate, valid, and complete information.
- Proven customer service work experience.
- Ability to prioritize and to multi-task in a fast-paced environment.
EDUCATION AND/OR EXPERIENCE
- Minimum Required: B.S. or B.A. in Finance, Accounting or related field
- Minimum Required: Previous experience in vendor maintenance/vendor master
LICENSES AND CREDENTIALS
- Minimum Required: None
SYSTEMS AND TECHNOLOGY
- Proficient in Microsoft Excel, Word, PowerPoint, Outlook
- Experience using IRS TIN Matching or other tools that processes TIN matching preferred.
- Experience using Coupa is preferred.
- Experience using SAP is preferred.

- This position is located in St Louis, Missouri and offers a hybrid work schedule.
