SUMMARY:

The Clinic Supervisor maintains the overall operations of the office, with a concentrated focus on: superior patient care experiences, providing employee performance support and ensuring associated administrative and clinic tasks are managed accurately, effectively and timely. The Clinic Supervisor will ensure that clinic staff are trained and productive in their assigned positions and staff strive for performance excellence. Additionally, the Supervisor will work closely with physicians to ensure their needs and expectations are met as it relates to: staffing dynamics, physician schedule requirements, meeting patient care expectations and clinic flow. 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Enforcement of clinic and corporate policies and procedures, such as: punctuality and attendance, dress code, use of corporate attendance line and cellphone and social media policies, etc. 
  • Directly supervise performance of the clinic staff, which includes: establish and monitor staff schedules, monitor staff time clock punches and make necessary corrections, proactively identify and address personnel issues, manage daily performance expectations, and prepare and deliver annual performance reviews.
  • Coordinate clinic schedule, per each Physician’s preference.
  • Establish and maintain positive relations with referring Physician groups and other healthcare providers.
  • Provide various levels of supervisory support to ARC associated satellite locations, as needed. 
  • Establish and maintain clinic and patient flow in a way that supports Physician preference and ensures patients have a positive clinic experience.  
  • Proactively identify and resolve patient/family concerns.
  • Responsible for ensuring that staff are successfully trained in their respective roles, which also includes a strong understanding of: the most commonly used diagnosis and procedure codes, prior authorization requirements related to drugs, insurance limitations related to drugs and patient eligibility, copay assistance programs, etc. 
  • Ability to step into the Medical Office Specialist (MOS) position, and cover front office tasks as necessary.
  • Proactively identify IT issues (equipment/phone) that could impact clinic and facilitate a resolution, with the appropriate department/entities. 
  • Must regularly engage with clinic supervisors, across the organization, to support physician needs and ensure clinic staffing needs are met.
  • Actively communicate with research coordinators/study patients in scheduling and staffing, as necessary.
  • Ensure adequate inventory of office and clinic supplies. 
  • Provide consistent, excellent customer service.
  • Provide supervisor and Administration with reports, as required. 
  • Travel to other ARC locations as requested. 
  • Responsibilities may be dependent on specific location and not required of all employees in that position. 
  • Performs all other duties as assigned, which may include assisting in other departments within Associated Retinal Consultants and at other locations.

QUALIFICATIONS

  • Expert knowledge of insurance carriers and need for any referrals and/or prior authorizations required for various procedures and/or drugs, seeks additional information if needed.
  • Expert knowledge of drug assistance programs and completes necessary patient enrollment in programs as needed.
  • Excellent interpersonal skills to work effectively with others (teamwork) and provide superior customer service to patients.
  • Analytical and problem solving skills.
  • Excellent communication and teamwork skills.
  • Good organization skills.
  • Able to work well in a fast-paced, high-stress environment.

EDUCATION AND/OR EXPERIENCE 

  • High school diploma or equivalent is required.
  • At least three (3) years of supervisory experience is preferred.

LICENSES AND CREDENTIALS 

  • Minimum Required: None 

SYSTEMS AND TECHNOLOGY  

  • Proficient in Microsoft Excel, Word, PowerPoint, Outlook.
  • Expert in Practice Management system..
  • Solid foundation in Electronic Medical Records (EMR) system.
  • Proficient keyboarding skills, knowledge of database systems and comfortable with electronic mail and instant messaging systems.

PHYSICAL REQUIREMENTS

  • This role requires a variety of physical activities to effectively perform essential job functions. The position involves frequent walking (75%), sitting (50%), and standing (50%), with regular bending, stooping, and reaching (25–50%). Employees must be able to lift, carry, push, and pull items up to 25 lbs. Strong fine motor skills and full use of hands are essential, as the role demands constant grasping, writing/typing, and use of technology. Visual and auditory acuity—including color, depth, peripheral vision, and the ability to adjust focus—is required 100% of the time. Occasional driving or climbing may also be necessary.
